Terms of service

How the service works, in plain words.

What ResumeDOG does for the agencies that use it and for the candidates they invite: workspaces, plans and credits, candidate links, the AI that does the conversion, and how long CVs are kept.

The service

ResumeDOG converts CVs into a recruitment agency’s house format, as Word and PDF files, in English or Japanese. A CV reaches it in one of two ways: someone at the agency uploads it, or a candidate sends it in through a private link from the agency.

Workspaces and accounts

  • Each agency has its own workspace. Its admins invite colleagues and choose the agency’s logo, brand colour and CV style.
  • How many people can use a workspace depends on its plan. If a workspace has more people than its plan allows, for example after moving to a smaller plan, nobody is removed: new invitations wait until there is room.
  • One person can belong to several workspaces with the same sign in.
  • Anyone who signs in with your password acts as you, so keep it to yourself.

Plans and credits

  • Converting a CV does not use a credit. A credit is used the first time a converted CV is delivered: downloaded, exported or sent by someone at the agency.
  • After that, the same conversion can be downloaded again, in the other format, or sent again at no extra cost, edits included. Converting the CV again is a new conversion, which uses a credit when it is delivered.
  • Starting a conversion needs credits available, or one of the free conversions on the Free plan.
  • If a conversion fails, no credit is used, and it can be tried again.
  • Nothing a candidate does through their own link uses a credit, including downloading their CV or emailing it to themselves.
  • A plan’s credits are added every month, on annual plans too. Credits from a month that are not used carry over into the next month only, and are used first; a change of plan starts with the new plan’s credits. Credits from top up packs do not expire.
  • Prices, monthly credits and what each plan includes are on the Pricing page. If an agency pays by card, the payment is handled by Stripe.
  • Plans and packs are priced in Japanese yen, US dollars, euros or pounds sterling. A workspace pays in the currency chosen when it is created, which can be changed until the first payment and is fixed after it. Prices are shown without tax; yen prices also show the price with Japanese consumption tax beside them.

Changing or ending a plan

  • Moving to a smaller plan never deletes what you set up, such as a logo or a banner. Features the new plan does not include are locked, and they come back if you move up again.
  • If a paid subscription ends, the workspace moves to the Free plan. Credits bought in top up packs stay available.
  • On every plan, CVs are removed automatically after delivery, so changing plan does not change how long they are kept.
  • A candidate does not need an account. Through the link they can send in a CV or build one, check the converted version, and download it or email it to themselves.
  • The link is the key: anyone who has it can open it until it expires. Share it only with the candidate it is meant for.
  • The candidate’s pages carry the agency’s name and colours. On the Free and Basic plans a small ResumeDOG credit appears as well; from Advanced the agency can show its own brand only.

AI and the documents it produces

Reading, converting, translating and rewriting CVs is done by AI models from OpenAI and Mistral AI. They can make mistakes: a date read wrongly, a detail left out, a phrase translated loosely. The editor marks details that are missing or need checking, but it cannot catch every mistake. Read each CV before it is sent to an employer.

Data and how long it is kept

CVs are deleted automatically after delivery, on every plan, and an agency can delete a candidate at any time from the candidate’s page. The Privacy page explains what is collected, where it is stored, who processes it, what is deleted and when; the Sub-processors page lists every service that handles it.

The date at the top of this page shows when it last changed.
